AI voice receptionist

Your phone.

Answered.

Every call.

// including 2am. including weekends. including while you're with a customer.

An AI receptionist handles inbound calls 24/7 — greets callers, answers from your FAQ library, books appointments, and routes urgent calls to your team. You stop losing revenue to voicemail.

The problem

26%

of inbound calls go to voicemail. 80% of those never call back.

Twenty percent of your calls go to voicemail. Most never call back.

Industry benchmarks put average inbound call answer rates for service businesses at 68 to 74%. The other 26 to 32% goes to voicemail. Voicemail has a roughly 20% callback rate. For every 10 calls you miss, 8 have already called your competitor.

After-hours calls are worse. Most service businesses answer zero calls between 6pm and 8am. A competitor with a live system picks up those calls at 10pm. That job goes to them.

The math on this is brutal. Run the missed call calculator and you will see the number. It is almost always larger than people expect.

§ I — How the call gets handled

Call lands. AI picks up. You hear about it later.

01

STEP 01

Caller dials your number

Your existing phone number forwards to the AI. No number changes, no new hardware. The AI picks up in under one ring.

02

STEP 02

AI greets and listens

It greets the caller by business name, listens to their request, and responds from your FAQ library in real-time, in natural language.

03

STEP 03

Routes or resolves

Simple requests are handled instantly. Urgent or complex calls get warm-transferred to you or your team based on rules you define.

04

STEP 04

Every lead captured

Name, number, and intent are logged. You get a summary via email or SMS after every call. Nothing falls through the cracks.

§ II — What you're actually buying

This is not “an AI chatbot for your phone.”

It's a full software system built around telephony routing, CRM integration, webhook pipelines, queue management, appointment scheduling, call monitoring, fallback paths, and audit logs. The AI is the brain that makes the whole thing behave like a trained human would — it's one layer, the most important one, but not the whole product.

System layers, in order

01
Telephony layer

Number forwarding, SIP trunking, call queuing, DTMF routing, hold logic, warm transfer to any number.

02
Intent + intelligence · AI brainAI

Large language model processes caller speech in real time. Looks up FAQ context, decides response, maintains conversation state, detects urgency. This is where the human-like behavior comes from.

03
Calendar & CRM glue

Reads real-time availability from Google Calendar or Calendly. Books appointments live on the call. Pushes caller name, number, and intent to your CRM on hang-up.

04
Monitoring & escalation

Every call recorded and logged. Escalation triggers fire on specific phrases, sentiment signals, or unanswered routing. Post-call summaries sent via SMS or email. Monthly tuning based on real call data.

“Any competitor can wrap an API call and call it an AI receptionist. Our edge is in the engineering between layers — prompt design, model routing, voice tuning, conversation state management, escalation logic, and the connective tissue that makes the whole system behave like a trained human, not a chatbot.”

§ III — What we build for you

Built to your operation.
Not a template.

We configure

your call routing tree: departments, zip codes, time-of-day rules, urgency triggers, and escalation paths.

We write

the call script and FAQ library, drawn from a 20-minute intake call with you. You review and approve before launch.

🔗
We connect

your scheduling software so the AI can check real-time availability and book appointments live on the call.

📋
We set up

call summaries delivered to you by email or SMS after every call, with caller name, number, and intent logged.

We tune

the system monthly based on call recordings and escalation patterns. Scripts improve over time.

🛡
We support

routing changes, seasonal hour adjustments, and FAQ updates without extra charges for standard changes.

§ IV — Is this right for your business?

Not right for every business.

this is right if you...

Take inbound calls as a meaningful part of your revenue

Miss 20%+ of calls due to volume or after-hours gaps

Have repeatable questions callers ask every week

Want every call answered without hiring another person

Need appointment booking handled without staff involvement

this is NOT right if you...

Get fewer than 5 inbound calls per day (the math may not pencil)

Have a legally sensitive practice requiring human-only intake

Need callers to authenticate or verify identity before routing

Can't define any repeatable call flow or FAQ for your business

Want a fully autonomous system with zero monthly check-ins

Questions worth asking

Things people actually ask before signing up

No. We use ElevenLabs or OpenAI TTS voices trained on natural, conversational speech. Most callers can't tell they're talking to an AI unless they ask directly. We can also configure the system to disclose upfront if you prefer full transparency.

The system warm-transfers to any phone number or sends a callback request. You define the escalation triggers: urgent phrases, frustrated callers, specific request types. The AI hands off automatically. Voicemail still exists as a fallback, but it almost never fires.

One week from signed agreement to live. We handle the technical setup and write the initial call scripts. You review and approve the flow before we flip the switch. No surprises.

Yes. We connect to Google Calendar, Calendly, or most scheduling software via API. The AI checks real-time availability and books on behalf of the caller, sends the confirmation, and logs the appointment.

Complex routing is what we build most often. Multi-department trees, zip-code-based routing, time-based rules, seasonal routing. Setup takes longer but the system handles it cleanly. We'll scope it before you commit.

The setup fee is one-time. Monthly plans are month-to-month after the first 60 days. We're confident the system will earn its keep, but we don't hold you hostage.

// a note from casey

Talk to it first. Then decide.

We built a live demo you can call right now and put through its paces. Ask it to book an appointment. Ask it something weird. See how it handles a frustrated caller. The demo runs on the same infrastructure as every client system we deploy.
